As a meeting host, Zoom provides a number of options to make your meetings more secure than our campus defaults. Choose the settings that best suit your needs.

Default

When you create a Zoom meeting, you get a very long URL which includes a passcode. Even when you add Zoom to an event in your calendar, there is still such a URL. By default, anyone who has that URL can get into your meeting.

If you want to add extra requirements for your meeting attendees, consider the following options. You can also hear about all the security features in zoom here:

 

Keep Your Meeting/Webinar Secure

Require Login

For most meetings and webinars, all attendees are SNC employees or students. Therefore, they all have SNC accounts. For such events, we recommend that you require your attendees to login.

There are two methods you can use to lock down your meetings. First, you can turn on the "Require authentication" option in the meeting settings. This means that users who are not logged into their SNC account will not be able to attend.

If you expect to have many attendees who don't have SNC accounts, then requiring a login may not be practical.

Use Waiting Room Feature

Second, you can also turn on the Waiting Room feature, then click on "Edit Options", and require users not in our account to go to the waiting room. In other words, attendees logged into their SNC account will get right in, while others will go to the waiting room where you can let them in manually.

You can do this in a webinar by turning on the "require authentication" option in the webinar settings.

With the waiting room option turned on, your attendees will see a message like this when they join your meeting:

Please wait, the meeting host will let you in soon.

You, as the host, can then let attendees in one-by-one or you can click a button to allow everyone in. Note that if you click the button to allow everyone in at one time, additional attendees may still arrive, requiring you to still allow them in.

When using the waiting room option, the "join before host" option will not work.

See the above-mentioned options related to which users are allowed to bypass the waiting room.

Join Before Host

This option, allowing attendees to join your meeting before you, is turned on by default. If you turn this option off, then your attendees will see a message like this until you arrive:

Please wait for the host to start this meeting

Note that with this option on, attendees can not only join before you, but you as the host don't even need to attend the meeting.
