Setting Up a Zoom Enabled Class Session for Remote Participation Rooms

There are a number of classrooms equipped with devices that enable remote participation via Zoom.  Here is a list of classrooms with this functionality, as of July 2, 2025:

This guide will help you create a Zoom meeting in Canvas and invite the classroom to the class as a participant.

Create Zoom Event In Canvas

Get started here by following our guide to create the Zoom Meeting using Canvas.  This will ensure that students can join the meeting using a link in Canvas.

How to Create a Zoom Event in Canvas

Make sure to grab the meeting URL after the event has been created. We'll use the URL to invite the classroom.

Invite the Classroom to the Zoom Event

Navigate to Google Calendar in a new browser tab.

Create a new event

You'll want to make sure the following settings are configured in the event for the classroom to connect successfully.

  1. Name the Event
    You'll want to make sure the event is named something in relation to your course (i.e. the course shortname: FA25ITS142A or the course's name: Intro to Device Management)
  2. Set the meeting date as the first day and time of class
  3. Set meeting recurrence
    You will want the meeting to appear on the classroom device when it is about to happen.  To ensure the meeting shows on the classroom device, set the Calendar Meeting to recur whenever the class is scheduled to meet. 
    To set this, click the dropdown under the meeting time, and select "Custom..."

    Use the day selector to choose which days you'd like your event to repeat.

    Ensure that you set an end date, so your meeting doesn't show on the classroom device forever.

  4. Add the classroom device to the meeting
    Click "Add guests", and search for the Zoom account associated with the room you're teaching in.
     
  5. Add Zoom Link as the meeting location
    In the "Add rooms or location" field, select "location". Paste the link to the Zoom meeting from Canvas.

    The classroom Zoom device will reliably find the Zoom link in the meeting's location area.  If you were to click "Add video conferencing" instead, you would generate a new Zoom meeting, rather than use the one you create in Canvas.  

  6. Click "Save"
